These Terms and Conditions apply when you book, purchase or attend fitness classes, personal training sessions, 1:1 coaching, packages, memberships or related services at The Fit Lab.
Please read these Terms and Conditions carefully before booking. By booking or attending a class, session or service at The Fit Lab, you agree to these Terms and Conditions.
1. Who we are

2. Our services
The Fit Lab offers group fitness classes, personal training, 1:1 coaching and related fitness services.
Classes and sessions may vary in style, level, intensity, pace and focus. Some sessions may be physically challenging, while others may be more accessible or suitable for beginners.
We aim to provide a safe, supportive and professional environment. However, every client is responsible for working within their own ability, listening to their body, taking breaks when needed and informing us of anything relevant to their health, safety or participation.
3. Bookings
All classes, personal training sessions and related services must be booked in advance through our website, app, booking system or by contacting us directly.
Spaces are limited and are offered on a first-come, first-served basis.
Your booking is only confirmed once it has been completed through the booking system and, where applicable, payment has been received.
Please check the class type, session type, date, time, location and description carefully before booking.
4. Payments
Payment is required at the time of booking unless otherwise stated.
Prices for classes, personal training, 1:1 coaching, packages, memberships and offers will be shown on our website, app or booking system.
We reserve the right to update prices from time to time. Any price changes will not affect bookings that have already been confirmed.
Payments may be processed securely by third-party payment providers. We do not store full debit or credit card details ourselves.
Where applicable, late cancellation or no-show fees may be charged using the payment method linked to your account or booking profile.
5. Class packages, memberships and passes
Where we offer class packages, memberships or passes, the terms of that package or membership will be shown at the time of purchase.
This may include:
Number of classes or sessions included
Expiry date
Payment amount
Renewal date, where applicable
Cancellation terms
Any restrictions on use
Class packages, memberships and passes are for the named client only and cannot be transferred to another person unless we agree otherwise in writing.
Unused classes or sessions are not normally refundable unless required by law or agreed by us.
6. Cancellation by you
If you can no longer attend a booked class or session, you must cancel your booking at least 24 hours before the class or session start time.
Cancellations must be made through our booking system, app or by contacting us directly.
If you cancel with at least 24 hours’ notice, your class credit or session credit will be returned to your account, where applicable.
If you cancel with less than 24 hours’ notice, or you do not attend your booked class or session, the following policy applies:
If you booked using a class package or session package, your class credit or session credit will be lost.
If you are an unlimited member, you will be charged a no-show fee equal to the current full drop-in class rate.
If you booked a single class, personal training session or 1:1 coaching session, your payment will be retained.
This policy is in place because spaces at The Fit Lab are limited, and late cancellations or no-shows mean another client may not be able to attend.
7. Cancellation by us
We may occasionally need to cancel, change or reschedule a class or session due to instructor availability, low attendance, studio maintenance, safety concerns, emergencies or circumstances outside our control.
If we cancel a class or session you have booked, we will offer one of the following:
A replacement class or session
A class credit or session credit
A refund for the cancelled class or session
We are not responsible for additional costs you may incur, such as travel, parking, childcare or loss of earnings.
8. Late arrivals
Please arrive in good time before your class or session starts.
If you arrive late, we may not be able to allow you to join the class or session. This is for your safety and to avoid disrupting the experience for other clients.
Late arrivals may be treated as a missed class or session and will still be charged or deducted from your package, in line with our cancellation and no-show policy.
9. Health, injuries, pregnancy and medical conditions
Before attending a class, personal training session or 1:1 coaching session, you must tell us about anything that may affect your ability to take part safely. This includes, but is not limited to:
Injuries
Pain
Health conditions
Pregnancy
Postnatal considerations
Recent surgery
Medication
Dizziness or fainting
Heart, blood pressure or respiratory conditions
Mobility restrictions
Any advice from a doctor or medical professional
If you have an injury, health condition, are pregnant, postnatal, taking medication, or unsure whether a class or session is suitable for you, please check with a doctor or medical professional before attending.
We may ask you to complete a health screening form, PAR-Q, waiver or consultation form before taking part.
We reserve the right to refuse or stop participation if we reasonably believe it would be unsafe for you to continue.
10. Fitness class and training safety
Fitness classes, personal training and 1:1 coaching may involve physical activity, including strength work, cardio, bodyweight training, resistance training, mobility work or other forms of exercise.
For your safety, you must:
Follow instructor guidance at all times
Use equipment only as instructed
Ask for help if you are unsure how to use any equipment
Work at a level suitable for your body
Take breaks when needed
Stop immediately if you feel pain, dizziness, faintness, shortness of breath or discomfort
Tell the instructor or trainer if something does not feel right
Avoid adjusting or using equipment unless you have been shown how to do so safely
You are responsible for listening to your body and pacing yourself throughout the class or session.
11. Class suitability and intensity
The Fit Lab offers a range of classes and training options. Some classes may be strong, energetic and physically demanding. Others may be more suitable for beginners or those returning to exercise.
It is your responsibility to choose a class or session that is suitable for your fitness level, experience and health status.
If you are new to fitness, returning after a break, or unsure which class or session to book, please contact us before attending and we will be happy to help.
12. Clothing and what to bring
Please wear comfortable activewear that allows you to move safely and freely.
Please bring:
Water
A towel, if needed
Supportive trainers, where required
Any personal items you may need after class
Please avoid clothing or jewellery that could restrict movement or create a safety issue during class or training.
13. Personal belongings
Personal belongings are brought into the studio at your own risk.
We are not responsible for loss, theft or damage to personal items unless caused by our negligence.
14. Studio conduct
We ask all clients to treat instructors, staff, other clients and the studio space with respect.
You must not:
Behave in a way that is abusive, threatening, discriminatory or disruptive
Attend under the influence of alcohol or drugs
Ignore reasonable safety instructions
Use equipment in an unsafe way
Record other clients without permission
Damage studio property
Disrupt the class or training environment
We reserve the right to refuse entry, remove a client from class or session, suspend bookings or cancel a membership where behaviour is unsafe, inappropriate or disruptive.
15. Photos, videos and social media
You may take personal photos or videos in the studio only where this does not disturb others and does not include other clients without their permission.
We may occasionally take photos or videos for marketing, social media or website use. We will ask for your permission before using identifiable images or videos of you for promotional purposes.
16. Personal training, 1:1 coaching, workshops and events
If we offer personal training, 1:1 coaching, workshops, events, challenges or special sessions, additional terms may apply.
These may include different cancellation periods, payment terms, refund terms, health requirements or suitability guidance.
Any additional terms will be explained at the time of booking.
17. Refunds
Refunds are considered in line with these Terms and Conditions and your statutory rights.
We do not normally offer refunds for:
Late cancellations
Missed classes or sessions
Unused class credits after expiry
Unused session credits after expiry
Change of mind after attending or using services
Failure to attend within the package validity period
This does not affect your statutory rights.
If a refund is approved, it will usually be made to the original payment method.
18. Changes to our timetable, services or instructors
We may update our timetable, class types, instructors, trainers, prices or studio services from time to time.
We will try to give reasonable notice of significant changes where possible, but we cannot guarantee that any particular class, instructor, trainer, timetable slot or service will always be available.
19. Liability
We provide our services with reasonable care and skill.
Nothing in these Terms and Conditions limits or excludes our liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or breach of your statutory rights.
You are responsible for following safety instructions, working within your ability, pacing yourself and telling us about any health, injury or medical concerns that may affect your participation.
20. Events outside our control
We are not responsible for failure or delay in providing services where this is caused by events outside our reasonable control.
This may include severe weather, power failure, illness, emergencies, government restrictions, building issues, safety concerns or other circumstances beyond our control.
Where possible, we will offer a suitable alternative, class credit, session credit or refund depending on the circumstances.
21. Complaints
If you have a concern or complaint, please contact us as soon as possible so we can try to resolve it.

22. Privacy
We handle personal information in accordance with our Privacy Policy.
Our Privacy Policy explains what personal data we collect, how we use it, who we share it with and your rights.
23. Changes to these Terms and Conditions
We may update these Terms and Conditions from time to time.
The latest version will be published on our website. The terms that apply to your booking are the terms in place at the time you make that booking, unless a change is required by law or for safety reasons.
24. Governing law
These Terms and Conditions are governed by the laws of England and Wales.
If a dispute cannot be resolved directly, the courts of England and Wales will have jurisdiction.
